Terms & Conditions of Service

On receipt of a request for virtual admin services HFA Solutions Ltd will send a Service Schedule to the Client detailing their specific needs. The Service Schedule lists details of the tasks and any specific requirements by the Client together with the approximate costs involved. HFA Solutions Ltd will notify the Client immediately of any changes to the original agreement and reserves the right to amend the Service Schedule accordingly.

All work undertaken must be accompanied by either a deposit of 25% of the estimated cost or a purchase order together with a signed Service Schedule. Upon completion an invoice will be sent and the balance/full payment is due within 30 days of the date of the invoice. In instances where cheques are not cleared by a bank any charges incurred will be the responsibility of the Client.

HFA Solutions Ltd are happy to accept assignments once our terms and conditions are agreed and signed.

HFA Solutions Ltd requires the Client to provide clear instructions of the work required. These details will appear on a Service Schedule and will be sent to the Client to be checked. In the event of poor quality material(s), insufficient materials being received or re-specification of an assignment, HFA Solutions Ltd reserves the right to revise their estimate. No work will be undertaken until both parties are in agreement and a new Service Schedule signed.

Responsibility for the final proofing of errors rests with the Client. HFA Solutions Ltd will not accept responsibility for errors found after the documentation has been returned to the Client or recipient, however we will correct any errors free of charge found within a reasonable timescale and in any case within 5 working days.

HFA Solutions Ltd will not participate in any activities in contravention of current legislation, moral or ethical codes. This includes data protection, copyright etc. Furthermore, HFA Solutions Ltd will not accept any liability for the legal consequences of the end use of any documentation produced by us or for any detriment to the Client's business for work carried out by us.

Any information received by HFA Solutions Ltd electronically, disks, CDs or memory sticks will be scanned for viruses. Emails which have unexpected or suspicious looking attachments will not be opened. Therefore, it is important when sending information that it is clearly marked.

All information received by HFA Solutions Ltd will be treated confidentially and will not be disclosed to a third party, unless authorised to do so by you in writing. All information is held on our computers and backups are taken daily. Upon completion of an assignment HFA Solutions Ltd will retain hard and digital copies for a period of six months. One month prior to removal we will contact you to advise of the destruction or subject to an agreement of a storage fee re-archive as necessary.
